Transfer
of Credit
How to Transfer Credit from
your Academic Leave
1. Order
an official transcript from your study away provider and ask
that it be sent directly to the Registrar's Office at Oberlin.
The mailing address is 52 W. Lorain Street, Carnegie 124,
Oberlin, OH 44074.
2.
If you take CR/NE or Pass/Fail courses, have proof
the grade is equal to at least C- level work. Grades earned
while on academic leave of absence do not appear on your Oberlin
transcript nor are they used in the calculation of your GPA.
What does appear in the grade column is an "X,"
simply indicating that you did passing work. You should obtain
additional transcripts for your own use for jobs or graduate
school so that you can demonstrate the caliber of your work
away.
3. When your
transcript arrives, you will receive an email from Christie
Ensminger, the transfer of credit clerk in the Registrar's
Office. If you have not received an email and you have had
the transcript sent, stop by the Registrar's office to check
on the status. Once your transcript has been received,
please submit the transfer of credit form with any required
signatures.
In most cases, faculty
specified on the preliminary form whether or not they wished
to review your academic work upon your return. They did this
by marking the "yes" box next to their signature.
Any courses filed from abroad and not signed
for would fall into this category.
In those cases where
your work is to be reviewed, take a copy of your transcript,
a copy of the preliminary form, and evidence of your work
to the appropriate department chair(s) for evaluation. Check
beforehand with individual departments for their transfer
procedure; some departments have specific written guidelines
for how they approve transfer credit.
You should be prepared to present
a full description of the program, syllabi, bibliographies,
essays or examinations, testimonials from tutors or professors,
a statement from the university registrar showing classes
attended and exams passed, and grade reports. In certain fields,
especially languages, exams may be required before
credit is granted. Work in studio art courses
should be available for evaluation by the Art Department;
if shipment is impossible, photographs and descriptions should
be provided.
Faculty will indicate their final
approval as well as the number of hours to
be awarded on the copy of the PTC form. This form along with
the transcript should be handed in to the Registrar's Office.

At the same time, you must fill
out the Program Evaluation form if you studied away during
the fall or spring semester. The program evaluation
form is available on-line at www.oberlin.edu/studyaway
. This form allows Oberlin to monitor
the suitability of a given program and to provide other students
with pertinent information about a specific program.
Be forewarned that credit will not be transferred
until you turn in the program evaluation form.
5. You will
be billed a transfer of credit fee of $50.00 per leave
at the time the transfer work is entered on your
Oberlin record.
6. Remember you have one
calendar year from the date of your return
to Oberlin from leave for requesting transfer of credit. After
this time period is over, it will no longer be possible to
have credit transferred. If you will be a senior after the
credits are transferred, please begin the transfer process
as soon as you return.
7. Christie
Ensminger, in the Registrar's Office, will provide further
information and assistance when you are ready to transfer
credit from your leave of absence.
