Constituent Input Subcommittee Meeting Minutes

Ray came to the meeting as a guest as he was interested in hearing more about the survey.
We all agreed that the survey went very well, completely beyond our expectations! The survey went out last Thursday around 2:00 pm and by this morning we had almost 1,000 students responding. We all looked at the results and felt that some answers were pretty straightforward, while others would need some follow up, maybe as focus group questions, about specific issues/areas related to the Academic Commons.
The SurveyMonkey worked very well. The results are laid out in a very straightforward manner. Jessica agreed to work with Bill Ruth in getting the comments sorted out in categories to the extend that they can be used by the other subcommittees.
Haipeng reported that he had talked with Fred about Room 456 which is equipped with recording devices. Fred said he would just need to change the video conferencing equipment to a recorder, which would be easy to set up. We thought this would be an easier arrangement. Jessica suggested that we go up to look at the room at the end of this meeting.
Jessica noted that there will be meeting for the Planning Committee. She agreed to report the survey results at that meeting with Shozo.
Focus Group Sessions
At our last meeting, we decided to do 4-5 focus sessions. Given the time we have, we decided to do 4, starting next Tuesday, the 25. The four sessions are scheduled:
Tuesday 25, 12:20-1:20 pm
Wednesday 26, 7:00-8:00 pm
Thursday 27, 4:30-5:30 pm
Friday 28 Noon-1:00 pm
We decided to recruit 6 people for each session. We will each try to target groups of students who are working for us to see if they are interested. We also wanted to give each student a $10 certificate to be used in a local store for attending the session. Haipeng will work with Bill on that.
Jessica will send out the intro for the survey document to share with us. Everyone will also send their schedule to Haipeng to indicate what sessions they can facilitate. We will have two facilitators at each session.
Scott has agreed to work on a list of topics/areas to cover during focus group sessions. He will send it to us tomorrow. We will review the list and use it as points for discussion during each session.
