The OSAP Board decided at the November 20, 2000 meeting to use the
following procedure in selling locally grown organic produce to the Oberlin
College Campus Dining Service. This is a temporary set-up until the Clark
Farm Project gets established.
OSAP Produce:
* Campus Dining Service will prepay a $5,000 share to OSAP for the 2001
year
sometime soon.
* When OSAP delivers produce to CDS, Gerry Gross (OSAP Grower) will write
up
a delivery slip that lists the produce delivered, quantity, and price
per
unit. This delivery slip will be in triplicate - one copy to CDS, one
to
Iris Hunt (OSAP Treasurer), and one for Gerry.
* Iris will create formal invoices to back up the delivery slips and mail
these to CDS. In addition to the produce charge, OSAP will charge CDS
20%
additional cost on each invoice for the extra liability insurance that
OSAP
has to obtain in order to sell to CDS. This 20% will be noted separately
and will not exceed $1,000 for the 2001 calendar year. Iris will also
send
a statement to CDS that shows the total of each invoice charged against
the
$5,000 share. Once the $5,000 share is used up, CDS will issue payment
to
OSAP.
Non-OSAP Produce:
* In order to provide access to CDS for other local farmers, OSAP will
buy
their produce and sell them to CDS. The individual farmers will be
provided with the triplicate delivery forms - they will give one copy
to
CDS, one to Iris, and keep one for themselves. Iris will issue invoices
to
CDS for this produce, but will NOT include the additional 20% insurance
fee. Iris will also send a statement to CDS that shows the total of each
invoice charged against the $5,000 share. Once the $5,000 share is used
up, CDS will issue payment to OSAP.
* OSAP will procure additional liability insurance for these other sales.
OSAP will make payment directly to the farmers, less a 20% fee on each
invoice to cover insurance and other costs. The farmers need to keep in
mind that the price listed on the delivery slip to CDS will be what CDS
pays, and not what OSAP will pay the farmers. Note that this 20% is an
estimated amount until the OSAP insurance company gives us an actual
premium cost, and the OSAP Board sets up next year's budget.
* Concerning labor costs, the OSAP Board will be meeting on Dec. 9th to
set
up next year's budget, and obtaining adequate labor will be part of this
process.
